Project Overview
Client: Unitarian Universalist Association (UUA)
Location: Baltimore Convention Center + Online
Role: Contract Production Manager
Duration: 5 days live • 6+ months planning
Audience: 3,000 onsite • 1,500 online
Deliverables: 10 hybrid broadcasts • Full accessibility integration
The Challenge
The General Assembly is a major national gathering that blends spiritual services with governance sessions, all of which must reach both in‑person and online audiences in real time. Key challenges included coordinating multiple live‑stream platforms, managing union crews and remote technicians, integrating full accessibility services, and maintaining a calm, unified team across five intense days of production.
My Approach
• Designed detailed, cue‑by‑cue run‑of‑show scripts for all main‑stage sessions.
• Facilitated weekly cross‑team planning meetings covering technology, staging, music, accessibility, and logistics.
• Oversaw vMix, YouTube, Zoom, and in‑room AV integration in collaboration with union and contractor techs.
• Scheduled ASL interpreters, managed captioning workflows, and ensured assisted‑listening device distribution.
• Led on‑site rehearsals and live shows with a focus on clear communication and calm leadership.
The Results
• All 10 hybrid sessions were broadcast live with minimal technical disruption.
• Thousands of attendees—onsite and online—engaged fully in worship and governance.
• Accessibility goals met: live ASL, captions, and assisted‑listening achieved across sessions.
• Stakeholders praised the clarity, collaboration, and composed leadership delivered throughout the event.
Reflection
High‑stakes hybrid events demand more than technology; they require trust, steadiness, and clear systems. By centering communication and accessibility from the outset, I helped every team member stay focused so that presenters and participants could connect meaningfully on every platform.
